These terms explain how bookings, deposits, payments, event services, rentals, equipment use, cancellations, media, and client responsibilities work when booking with Heat District Productions.

1. Overview

These Terms & Conditions apply to the Heat District Productions website and to inquiries, package selections, rental selections, custom build carts, booking requests, event services, and rental requests submitted through the website or direct communication.

By using this website, submitting a form, selecting a package, adding products to a cart, requesting a quote, paying a deposit, or booking services with Heat District Productions, you agree to these Terms & Conditions.

These website terms are general terms for Heat District Productions. A separate invoice, signed agreement, rental agreement, waiver, or written confirmation may include additional event-specific terms.

2. Website Use

You agree to use this website only for lawful purposes and for requesting information, quotes, event services, packages, rentals, and related business communication.

  • You may not attempt to damage, disable, overload, hack, or interfere with the website.
  • You may not submit false, misleading, fraudulent, or abusive information through forms or checkout pages.
  • You may not copy, reproduce, or misuse Heat District Productions branding, text, images, pricing structure, website design, or content without written permission.

3. Website Pricing and Selected Total

Prices shown on the website are the listed prices for the packages, rentals, services, add-ons, and event hours selected by the client at the time of checkout or quote submission.

Heat District Productions does not change the listed website price for the items selected once the booking is accepted, unless the client changes the booking, adds services, adds rental items, adds event time, changes the event details, or creates additional costs outside the original selection.

  • The website total is based on the specific package, rental items, add-ons, quantities, and event hours selected by the client.
  • If the client adds more hours, adds equipment, adds services, upgrades the setup, changes the event date, changes the venue, changes the location, or changes the scope, the total may be updated to reflect the new selections.
  • If the venue requires unusual load-in, extended setup labor, stairs, difficult access, additional staff, special approvals, or conditions not disclosed before booking, additional charges may apply only for those added requirements.
  • If equipment is damaged, lost, misused, moved without approval, exposed to unsafe conditions, or handled by unauthorized persons, repair or replacement charges may apply.
  • Discounted add-on pricing may be available only to clients who book a qualifying package.
  • Standalone rental pricing may differ from package add-on pricing.
In simple terms: the price on the website is the price for what the client selected. The total only changes if the client changes the booking, adds more to the booking, extends the event, causes damage, or there are event requirements that were not disclosed before booking.

4. Booking, Deposits, and Date Holds

Submitting a checkout form, quote request, package selection, or product cart does not automatically confirm your event. Your event is confirmed once Heat District Productions accepts the booking and the required deposit, invoice, written agreement, or confirmation has been completed.

  • A 50% deposit is required to secure the booking date unless otherwise stated in writing.
  • Dates are subject to availability until the deposit is paid and the booking is confirmed.
  • Heat District Productions may require a signed agreement, rental terms, waiver, or written confirmation before the booking is finalized.
  • Any client-requested change to event time, location, package, add-ons, rental items, or event duration may update the total.

5. Payments, Invoices, and Remaining Balance

Heat District Productions may send invoices through QuickBooks or another payment platform. Payment terms, deposit amount, due dates, and remaining balances will be shown on the invoice, written agreement, or booking confirmation.

  • A 50% deposit is due to secure the booking date unless otherwise stated in writing.
  • The remaining balance is due according to the invoice, booking confirmation, or event agreement.
  • Invoices must be paid by the due date shown on the invoice or written agreement.
  • Late payments, unpaid balances, or payment issues may result in delayed service, cancellation, or refusal to release final media deliverables.
  • Returned payments, chargebacks, or payment disputes may result in additional fees or collection action where permitted by law.

6. Event Access, Setup, Power, and Venue Requirements

The client is responsible for making sure Heat District Productions has safe and reasonable access to the venue, setup area, loading area, power, and any required permissions needed to perform the services.

  • The venue must allow adequate load-in and load-out time.
  • The client must provide accurate event timing, venue address, setup location, and access details.
  • Power must be available and suitable for the selected sound, lighting, DJ, effects, photo booth, LED, or production equipment.
  • Outdoor events may require weather protection, stable ground, cover, and additional safety planning.
  • Venue restrictions, security rules, elevator access, stairs, parking limitations, loading dock limitations, and long-distance load-ins must be disclosed before booking.

7. Rentals, Equipment, and Damage

Rental equipment remains the property of Heat District Productions or its equipment partners unless otherwise stated in writing. The client is responsible for protecting rental equipment from damage, misuse, theft, unauthorized movement, weather exposure, spilled drinks, unsafe conditions, or guest interference.

  • Equipment may only be used for the agreed event, date, location, and purpose.
  • Clients may be responsible for repair or replacement costs if equipment is damaged, lost, stolen, or misused during the rental period or event.
  • Equipment cannot be moved, modified, unplugged, rewired, or operated by unauthorized persons without approval.
  • Heat District Productions may stop operation of equipment if safety, weather, power, venue, or guest conditions become unsafe.

8. Client Responsibilities

The client is responsible for providing accurate information and cooperating with reasonable requests needed to complete the event services.

  • Provide accurate contact information, event date, event type, venue details, guest count, timing, and service requests.
  • Confirm all package selections, add-ons, rental items, and special requests before the event.
  • Obtain venue approval for sound, lighting, fog, haze, cold sparks, LED walls, photo booth, trussing, staging, or other production elements when required.
  • Ensure guests, vendors, and venue staff do not interfere with equipment or work areas.
  • Provide safe working conditions for Heat District Productions staff, contractors, and equipment.

9. Cancellations, Rescheduling, and Changes

Cancellation and rescheduling terms may be provided in the final invoice, written agreement, rental agreement, or booking confirmation. Unless otherwise stated in writing, deposits may be non-refundable once the date, equipment, staffing, or production planning has been reserved.

  • Rescheduling is subject to availability.
  • Client-requested changes to event date, time, location, duration, package, services, add-ons, or rental items may update the total.
  • Last-minute changes may require additional labor, travel, staffing, or production charges if they are outside the original booking.
  • Weather-related changes for outdoor events may require additional arrangements, delays, relocation, or cancellation depending on safety.
Deposits reserve time, equipment, staffing, and preparation for the event. For the cleanest booking process, cancellation and rescheduling terms should also be confirmed in the invoice notes or signed event agreement.

10. Photography, Videography, and Promotional Use

If photography, videography, content coverage, or event media services are included, the final deliverables, editing scope, delivery timeline, and usage rights should be confirmed in writing.

  • Edited photo and video quantities depend on the package or service selected.
  • Delivery timing may vary based on event size, editing needs, workload, and custom requests.
  • Raw files are not included unless specifically agreed in writing.
  • Heat District Productions may request permission to use photos, videos, or event clips for portfolio, website, social media, and promotional purposes.
  • Clients should notify Heat District Productions in writing if privacy restrictions or media-use limitations apply to their event.

11. Special Effects, Fog, Haze, Cold Sparks, and Venue Approval

Special effects such as fog, haze, cold sparks, atmospheric effects, and similar production elements may not be allowed at all venues. Approval from the venue, property owner, fire marshal, or event authority may be required.

  • Heat District Productions may refuse to operate effects if the venue does not allow them.
  • Effects may be stopped if they trigger alarms, create unsafe conditions, or violate venue rules.
  • Clients are responsible for confirming venue approval unless Heat District Productions agrees in writing to handle that coordination.

12. Third-Party Services and Platforms

Heat District Productions may use third-party tools or platforms for contact forms, email, invoicing, payments, website hosting, scheduling, or business operations.

Use of third-party platforms may also be subject to the terms and privacy policies of those providers. Heat District Productions is not responsible for outages, delays, errors, or issues caused by third-party platforms outside of our control.

13. Limitation of Liability

To the fullest extent permitted by law, Heat District Productions is not responsible for indirect, incidental, special, or consequential damages arising from website use, event delays, venue restrictions, client-provided information, third-party actions, weather, power issues, or circumstances outside of our reasonable control.

Heat District Productions’ responsibility for any confirmed service issue will be limited to the amount paid for the specific affected service, unless a different remedy is required by law or agreed in writing.

14. Events Outside Our Control

Heat District Productions is not responsible for delays, cancellations, service interruptions, or inability to perform caused by events outside our reasonable control, including severe weather, natural disasters, venue shutdowns, power failure, emergencies, road closures, accidents, illness, government restrictions, labor disruptions, or safety concerns.

15. Changes to These Terms

Heat District Productions may update these Terms & Conditions at any time. When changes are made, the updated date at the top of this page may be revised. Continued use of the website after changes are posted means you accept the updated terms.
